Administrative Assistant | Part-Time (15-18 Hours/Week) | Greater Flint and Genesee County

 

Ele's Place - Greater Flint and Genesee County is looking for a part-time Administrative Assistant responsible for maintaining the efficient office, building, and administrative operations for the branch, acting as a welcoming ambassador to the families, visitors, staff, donors, and volunteers, and serving as the coordinator for building/facility maintenance needs.

Essential Job Functions:

  • Greets visitors and answers telephone, referring callers to appropriate staff (includes handling sensitive family calls with care and ease); ensures friendly, efficient front desk operations.
  • Opens and distributes all incoming mail and processes outgoing mail; keeps postage meter up-to-date with dollars and ink.
  • Processes gifts/donations received and delivers the checks to the Director of Finance or the Finance Assistant.
  • Provides clerical and special project support to the Program and Development teams. Inputs Program data into Raisers Edge and runs reports.
  • Provides general administrative support to branch staff (e.g. copying, filing, mailing, etc.).
  • Schedules community board meetings and branch staff meetings.
  • Compiles minutes from community board meetings from the notes of attending staff and/or attends meetings to take minutes; composes routine correspondence as necessary. Compiles minutes from branch staff meetings.
  • Keeps front office entrance, desk, lobby area, conference rooms, and workroom clean and neat.
  • Maintains inventory and orders office supplies

Education Requirements: High school diploma or equivalent required; Associate’s degree in office administration or related field preferred.

Position Requirements (Skills & Abilities):

  • Proficient in Microsoft Office 365 and informational management systems; web navigation beneficial.
  • Extensive knowledge of office management procedures and general knowledge of facilities management procedures.
  • Self-starter with the ability to work both independently and as a team as well as multi-task.
  • Highly organized with attention to detail and proven ability to meet deadlines.
  • Effective governance and delegation skills.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Ability to maintain confidentiality and interact with callers and visitors in sensitive situations.

Experience: Minimum one year of administrative and clerical experience required; office management experience preferred.

Pay:  $15.00 - $18.00 per hour
